Overview

A building project generates specifications from multiple design professionals working in parallel. The structural engineer writes specs for concrete and steel. The mechanical engineer specifies HVAC equipment. The electrical engineer details power distribution. The plumbing engineer covers piping and fixtures. Fire protection, acoustics, elevator, curtain wall, and security consultants each contribute their own specification sections.

All of those independent documents must come together into a single, coherent project manual. That is the coordination challenge.

Conflicts between consultant specs and architectural drawings are one of the most common sources of construction disputes. A mechanical specification that calls for a different duct gauge than what the drawings show. A structural specification requiring a concrete mix that contradicts the civil engineer's foundation notes. A fire protection spec referencing a sprinkler head type that does not fit the ceiling assembly detailed on the architectural sheets.

For PDD, NCARB expects you to coordinate specifications with information found on construction drawings and consultant documents. That means tracking materials, assemblies, hardware, methods, and other identified information across every discipline. You need to know which CSI divisions each consultant typically authors, how to spot cross-referencing errors between specs and drawings, and what coordination procedures keep things from falling apart on large multi-discipline projects.

Specifications on a multi-discipline building project come from everywhere. The architect writes architectural specification sections. The structural engineer writes structural sections. The mechanical, electrical, plumbing, and fire protection engineers each write their own sections. Specialty consultants for acoustics, elevators, curtain walls, security systems, and food service contribute additional sections. Every one of those documents must align with the construction drawings and with each other. That alignment is what NCARB means by "coordinate specifications with construction documentation." It sounds simple. In practice, it is one of the most error-prone parts of project development. ## Who Writes What: CSI Division Responsibility The CSI MasterFormat organizes specifications into divisions. Understanding which consultant typically authors which division is the starting point for coordination. The architect typically authors Divisions 01 through 14 (General Requirements, Existing Conditions, Concrete, Masonry, Metals, Wood/Plastics/Composites, Thermal and Moisture Protection, Openings, Finishes, Specialties, Equipment, Furnishings, Special Construction, Conveying Equipment).

Consider a 12-story mixed-use building entering the construction documentation phase. The design team includes a structural engineer, mechanical engineer, electrical engineer, plumbing engineer, fire protection consultant, an acoustical consultant for the residential floors, and a curtain wall consultant for the building envelope. The architect has already coordinated the drawings through design development. Riser diagrams are complete. Equipment room layouts are confirmed. Reflected ceiling plans show coordinated diffusers, light fixtures, and sprinkler heads. But the specifications tell a different story. The structural engineer's Division 03 specification calls for a self-consolidating concrete (SCC) mix for the post-tensioned floor slabs. The architect's Division 03 section, written for architectural concrete at the lobby level, references a standard concrete mix. Both sections are in the same division, and neither references the other. A contractor reading Division 03 sees two different concrete requirements with no clear delineation of where each applies.
